Overview
More or less preparation time may be required based on the scale of your event. Larger events may require more planning. This timeline is ideal for a grand opening, a re-grand reopening, or a smaller event.
6+ Weeks Ahead
- Decide what your event will be
- Send introduction letters to establish community partnerships
- Schedule date, time, and location
- Add your event to Eventbrite or a similar platform to collect registration information
- Add your event on Facebook (if the event is open to the public)
1 Month Ahead
- Plan activities and order supplies
- Schedule Staff
- Schedule Social Media posts
- Send Promotional email
- Decide if you will offer a door prize and purchase if necessary
- Begin promoting to parents/students and other groups
- Invite VIPs to attend
2 to 3 Weeks Ahead
- Invite the Media / Send press release
Week of the Event
- Final event reminder via Social Media and Email
- Hold your event—Take lots of photos (Consider hiring a photographer for the event. These photos can be used to promote your business in the future.)
After Your Event
- Update your email list with contacts from your door prize giveaway (If applicable)
- Post a recap and photos on social media
- Send Thank You notes to your community partners
- Add potential students to your email drip campaign
- Call potential students to follow up and gauge interest in programs
